So, I have an 80 page document with sensitive information created in indesign. I consider myself a pretty advanced user, but I do want to see if there is an easier way of going about adding an easily editable disclaimer at the bottom of the page across multiple sets of different master pages. I would like to create one instance of this disclaimer, that appears on every page in a certain area….and if I edit that one instance, it changes every single occurrence throughout the document. I want to be able to just edit/customize the disclaimer once, that updates every occurrence in the document, without having to override or interfere with any master pages items. Right now, I’m copy/pasting across multiple master pages when I make a change (which is frequent) Is creating a button, or maybe a placed document would make that process more efficient? I need some ideas.

Once you’ve created all the master pages, it’s kind of a pain to set this up… but if you’re starting fresh, you can create a single master page and then make your other master pages based on that one. Then any change you make to the “parent” master page will be reflected on all the others.

You can make master pages based on others after you create them, but it takes some clean-up to get it right.

Another option would be to simply export the whole thing as a PDF and then apply a watermark to all the pages with that feature in Acrobat.

      What David said, plus:

This is by no means perfect, but: you can link via script to a Word document (that updates when you change the Word doc)

      • Linking to Word Documents:

      • Or link to a separate InDesign file or PDF (if you plan to keep the frame size the same)

Disclaimer: my suggestions are sometimes wily, not always the best! Good luck.

How to update the content of a textframe on masterpages, that are not based on each other?

This isn’t so complicated and need only minor preparation:

      1. Create on your first mp an empty textframe on both sides
      2. Paste in place those two frames to the other masterpages
      3. Write your text in the first frame on mp 1
      4. Click in your textframe, choose “Place and Link”
      5. Choose “Place multiple and keep in conveyor”
      6. Simply click with your loaded cursor in every empty frame on your masterpages
      7. Make your changes in the first frame
      8. Update all occurrences at once with the links panel

btw: There exists a real watermark-feature in InDesign too, but this is only available via scripting!

Hey, that’s a good idea, Kai.
I don’t usually remember to use Place and Link, because I often have trouble getting it to work the way I want. However, for something like a watermark, it is a very easy task! Thank you for reminding us.

(The thing I like least about Place and Link is that it creates a lot of extra stuff in the Links panel.)

I use Place and Link for a Training program, where a course can appear in different categories (2-10). Once course = one textframe. At the beginning of the year, all changes are made and it is important that the changes are made only once. So I’m realy happy with Place and Link, even if it’s a 1.0 feature.

Thanks guys! Super helpful for next time! Unfortunately, they asked for the customization after the creation of the document…no wonder…something so simple shouldn’t be so complicated….but apparently it is. I decided to just place and link to an outside indesign document on every master page, set the object frame options to fit content proportionally (since it’s not always the same amount of characters)…not perfectly the same size text for each name, but it works for what I needed to do. Helpful info for next time!
